You'll use Claude to generate thorough, role-specific onboarding checklists for HR, IT, and the hiring manager — so every new hire gets a complete, consistent experience regardless of how busy you are when they start.
What you'll need
Before prompting Claude, gather:
Open claude.ai and use this template:
Create a comprehensive onboarding checklist for a new [Job Title] in our [Department] department. Generate THREE separate checklists:
1. HR Checklist (tasks HR completes before and during onboarding)
2. IT/Tech Checklist (systems access and equipment setup)
3. Manager Checklist (manager tasks before and during the first 2 weeks)
Details:
- Role: [Job Title]
- Key tools/systems they'll use: [list]
- Policies especially relevant to this role: [list]
- Any role-specific training required: [describe]
- Start date logistics: [office vs. remote, any special requirements]
Format each checklist with checkboxes, organized by: Before Start Date / Day 1 / Week 1 / Month 1.
What you should see: Three structured checklists with checkbox items organized by timeframe
Read through each checklist carefully. Add items specific to your company that Claude wouldn't know (your HRIS name, specific internal tools, company-specific policies).
Save the checklist to Google Docs, Word, or your HRIS. Name it clearly: "Onboarding Checklist — [Job Title] — [Year]."
What you should see: A complete, ready-to-use checklist template
Before each new hire's start date, copy the template and assign each section to the appropriate person (yourself, IT, the hiring manager). Track completion in a shared doc or your HRIS.
For remote-only hires: "Adapt this checklist for a fully remote hire who won't be coming to the office. Include home office equipment setup and how to join virtually for Day 1."
For updating existing checklists: "Here is our current onboarding checklist. It was created in 2022. Update it to reflect current AI tools, remote work norms, and remove any outdated items."
For manager coaching: "Based on this onboarding checklist, what are the top 3 things managers tend to skip that have the biggest impact on new hire retention?"
